Payment Reminder Bots for Utilities and Internet: Email, Telegram or Viber

2026-10-21

A missed internet payment means a disconnected router on Monday morning. A forgotten utility bill turns into a debt, a penalty and an awkward call from the housing association. The problem is rarely money - it is attention. People do not open billing portals on their own, but they do read their messages. A reminder bot sends the right message at the right time, in the channel each person prefers: email, Telegram or Viber.

Who orders these bots

Housing associations and management companies that are tired of chasing residents for payments and meter readings. Internet providers that want fewer disconnections and fewer calls to support. Landlords with several apartments who need to see which bills are paid and which are not. And families who simply want one place where all household payments are tracked, with a nudge three days before each due date.

What the bot does

The core is simple: the bot knows who owes what and by when, and it reminds before the deadline, not after. Around that core I build what a specific client needs: the amount due and a payment link right in the message, a reminder to submit meter readings with a form to send them from the chat, a “Paid” button that stops further reminders, a repeat reminder and escalation to a manager if nothing happens, a monthly summary for the administrator, and broadcasts for announcements such as planned outages or maintenance.

Email, Telegram or Viber: which channel to choose

Notification channels compared: strengths, limitations and typical use.
ChannelStrengthsLimitationsBest for
EmailWorks for everyone, suits formal invoices and PDF attachments, cheap to sendCan land in spam, often read lateInvoices, receipts, official notices
TelegramFree Bot API, buttons and forms in the chat, instant delivery, a Mini App for the personal accountThe user has to start the bot firstActive users and interactive actions
ViberVery popular in Ukraine and Eastern Europe, especially with older residentsBots and business messages are paid and need a commercial accountHousing associations and providers with a broad audience

In practice the answer is rarely one channel. Each person picks a channel when signing up, and the system keeps a fallback: if a Telegram message cannot be delivered, the reminder goes to Viber or email. The administrator sees in one panel who received what and who has not reacted.

How it works inside

Billing data comes from wherever it already lives: a provider's billing system through its API, an accounting export, a Google Sheet that the association's treasurer already keeps, or manual entry in a simple admin panel. A scheduler checks due dates every day and builds messages from templates with the person's name, account number, amount and deadline. A channel router sends each message through the chosen channel and logs the delivery status. Replies - a tap on “Paid”, meter readings, a question - come back to the same backend and update the record.

My usual stack is Node.js or Python on the backend, PostgreSQL for accounts and the delivery log, a queue for scheduled sends, the Telegram Bot API, the Viber API and a transactional email service. When online payment is needed, the link leads to the client's existing payment page or to a checkout through LiqPay, WayForPay or Monobank acquiring. In that case the payment status is updated by the payment provider's callback, not by a button the user taps.

Personal data and consent

A reminder bot handles names, addresses, account numbers and debts, so privacy is part of the design, not an afterthought. People subscribe themselves and can unsubscribe in one tap, the bot never reveals a debt to someone who has not verified the account, messages contain only what is necessary, and access to the admin panel is logged. Reminders stay polite and informative - the bot reminds, it does not threaten.

Typical projects and timelines

Scope and timeline depend on the data source and the number of channels.

I am a Senior Full-Stack Engineer with 11+ years in software. I build bots, backends and admin panels end to end and keep them running after launch. Tell me who your users are, where the billing data lives today and which channels you want - email, Telegram, Viber or all three. I will reply with an architecture, a realistic timeline and an estimate.
